Organizations are child care programs and businesses in the field of early care and education, like licensed child care centers, Head Start, school-based pre-kindergarten programs and training sponsors. Setting up an Early Childhood Workforce Registry Organization account is free and highly recommended to support staff and manage records.

Benefits of Having an Organization Account

  • Maintain staff employment information and qualifications.
  • View, manage, and track staff training logs.
  • Access the Facility Staff Report, which lets you see, save, and print training records for your employees.
  • Allows you to update your information in the Resource and Referral module, giving parents who are searching for care current information about your program.
  • If applicable, allows access to quality initiatives and funding opportunities.
  • Register staff members for Getting Started, ND Mandated Reporter, and North Dakota Safe Sleep using the training calendar.

Health and Human Services licensed programs — allows access to employee training records, grant (or other) applications, participation in Bright & Early ND.
Training Sponsors — an organization account is required to submit training, schedule events, and award credit to attendees.
Non-direct care organizations — those who provide support services to children, families, and the early childhood workforce. 

  1. Log in to your personal account.
  2. Select either +Organization Account from the menu below your name at the top right or Add Organization Account from Organization Account Management.
  3. Select Create Profile. Tip: Do not enter an organization ID in the lookup.
  4. Complete all sections of the form. If you need to enter a license number do not use any spaces or dashes. Example: 12345678A
  5. Submit the completed form. A Registry staff will contact you to verify the account information.

  1. Log in to your personal account.
  2. Under your name at the top right, use the drop-down menu below your name to find the organization’s name.
  3. Click or tap the organization name to go to the organization account. 

  1. In the organization account, select the Reports tab.
  2. Select the Facility Staff Report
  3. Select the employee’s ID number or name to view their training record.
  4. Return to the main report from an employee’s training record by selecting the small blue arrow in the top bar, to the left of the Find box.

  1. In the organization account, select the Status tab.
  2. Select the Add New button.
  3. In the first question, select Change next to HHS License number.
  4. Enter the new license number in the box. Enter the number without spaces or dashes: 12345678A.
  5. Answer any required questions.
  6. Submit the form. Registry staff will contact you to verify the information.

Training Sponsor Organizations

Training sponsor organizations play a crucial role in helping prepare the early childhood and school age workforce to provide quality care and education. Organizations that wish to provide training are required to create an organization account with the Early Childhood Workforce Registry and be approved as a training sponsor before training courses can be submitted.

  • Offer training that is approved for child care licensing
  • Promote your training events on the ND Early Childhood Training Calendar
  • Manage training attendance, rosters, and award clock hours to attendees quickly and easily
  • Offer registration through the Registry's online registration feature (contact the Registry for more information)

Training Levels

Training Levels

Level 1 courses provide basic information on a topic and apply toward clock hours for childcare license renewal. They are for those interested in progressing through Career Pathways placement in Categories A-D. This course level is informative but not in-depth. Level 1 courses are usually quick to complete and in the case of online Level 1 courses, the clock hours may post to the individual’s training record immediately upon completion. 

Level 2 courses are designed for those seeking to advance on the Career Pathways to Category B or above or earn or maintain a professional credential. Level 2 courses are more rigorous and usually require completion of assignments, assessment or a test to demonstrate competence before clock hours are awarded. This means that it will take longer for Level 2 courses to appear on an individual’s Registry record. Level 2 courses also fulfill childcare licensing requirements. 

Level 3 courses are for the individual working toward a degree in Early Childhood or completing coursework to maintain a professional teaching license. These courses are offered by higher education institutions and are not listed on the training calendar. Rather, these courses are added to an individual’s Registry record after the fact. Level 3 courses also fulfill childcare licensing requirements if the course(s) was completed in the individual’s current licensing year. NOTE: Thesis and dissertation credits are not accepted as training hours and are not added to an individual’s learning record.

  • Create a personal account in the Registry
  • Then create an Organization account. Under Organization Details, check the Training Sponsor Organization box.
  • Complete the rest of the application and Submit.

Registry staff will call to verify your account information before activating the account.

Organizations are responsible for the development and management of the training.

  • Read, review, and agree to the terms and conditions of the Training Sponsor Agreement.
  • Submit training for approval, meet the approval criteria, manage registration, and attendance.
  • Use trainers who have current professional expertise.
  • Maintain records of training attendance.
  • Offer customer support for issues and questions related to training events. 

The training sponsor agreement specifies the terms and conditions that allows an organization to sponsor training for 24 months.
Read the Training Sponsor Agreement completely before agreeing to terms. The Registry reserves the right to remove training sponsor approval at any time if an organization violates the terms.

To become a training sponsor after the Organization Account has already been activated, please contact the Registry for assistance.

If your organization is approved to sponsor training and no longer wishes to do so, please contact the Registry for assistance.

A course will expire three years from the date it is approved by the Registry.  

NOTE: After a course is approved the training sponsor organization will need to submit the course's event (time, delivery and place details) for approval.
